    This position will provide administrative support to the Executive Vice President, Promotion and other members of the Radio Promotion team.  This includes (but not exclusive to) answering phones, arranging travel, maintaining expenses, processing invoices, pulling data and reports like industry charts, station playlists, sales data, and streaming reports.  The Assistant will help to ensure the efficient day-to-day operation of the Radio Promotion department by successfully accomplishing the following responsibilities: 

    Responsibilities

    • Coordinate access to EVP by maintaining schedules and organizing meetings, conferences, and phone calls.
    • Act as a liaison between the Promotion team and a wide array of internal and external contacts including senior management, radio programmers, outside industry contacts, artists, artist managers, internal departments, etc. by screening and directing incoming calls and emails.
    • Coordinate travel, entertainment and transportation arrangements for EVP and possibly other staff members.  Help with travel arrangements for contest fulfillments and industry guests.
    • Prepare business expense reports in a timely, accurate and efficient manner.
    • Make sure department is adhering to the standards of conduct and compliance guidelines.
    • Keep records of departmental compliance paperwork.
    • Coordinate and draft correspondence and presentations.
    • Maintain mailing and e-mail lists, databases, files and other assets for the department.
    • Order and maintain music product, office supplies and tickets for the department.
    • Pull information daily from Mediabase, Soundscan, Shazam, SCUBA, and other sources and create and distribute daily/weekly and monthly reports (including radio recaps) to the Company.
    • Create and maintain data report sets to help show comparison and competitive information to help analyze strengths and weaknesses for targeted campaigns and markets.
    • Process requests for product giveaways and contests from radio stations.
    • Provide back-up support for other members of the department (including field staff) as needed.
    • Assist with all aspects of promotion administration for the Arista Promotion department.
    • Review singles before they are digitally delivered to radio via in-house and third-party outlets.

    Qualifications

    • A college degree is strongly preferred.
    • Prior Administrative support experience.
    • A passion for music, and the business of music is a must.
    • Ability to converse with industry professionals using appropriate language.
    • Previous music experience such as internships within the music industry is strongly preferred. 
    • Organization skills and attention to detail is of the utmost importance.
    • Ability to juggle multiple projects and duties on a daily basis without getting overwhelmed.  
    • Proficiency in Computer skills (Outlook, MS Word, Excel, PowerPoint, Adobe Photoshop is a plus).
    • Strong written and oral communication skills.
    • Knowledge of Radio systems is a plus (Mediabase, Shazam, All Access, etc).
    • Ability to adapt well to change and a fast paced environment.
    • An ability to follow through on all duties.
    • Calm, positive, and professional demeanor.
    • Ability to work with all types of personalities, resourcefulness, self-confidence and a sense of humor.
